Request An Integration

When instructors need to provide more functions and/or software to enhance the classroom experience that is not provided by centrally funded and supported tools, they can request the use of a new tool or third-party integration.  

New integrations must undergo a security review before implementation to identify any risks that the software or service presents to Georgia Southern before synchronizing with our learning management system.

Additionally, instructors who request a new tool must agree to test the functionality of the new software or service in a test environment before it is placed in production.

New Integration Process

The process for new integrations into Folio includes three distinct phases, which must be completed before the integration can be implemented in Folio.

  • Phase I: USG Security Assessment completed by vendor and approved by USG Security Office.
  • Phase II: Installation and configuration of the integration in the TEST Folio environment
  • Phase III: User Acceptance Testing by instructor (in TEST Folio environment)

Once these phases have been completed, the integration will be scheduled to ‘Go Live’ in the Folio production environment during the upcoming academic break between semesters.

Preparing Your Folio Course for A New Semester

We’ve created a how to guide to help you get ready for the coming semester. Keep reading to learn how to prepare your courses in Folio, the Georgia Southern instance of D2L Brightspace.

Getting Started

New Integrations

All requests for new integrations for Folio must be submitted at least a month prior to the beginning of the term.

Crosslisting Requests

We recommend that you submit requests to have coursescross listed inFolio prior to beginning course preparation. Allcross listing requests must be received prior to the first day of the term.

What Is Crosslisting?

Multiple course sections can be combined into one course site. Combining course sections allows instructors to have all their students and course materials in one convenient location within Folio.

Note when a course is crosslisted, a new course space is created and any content, grades, and student work that exists in other sections will not be automatically transferred.  Instructors will have to copy content from existing courses into the new crosslisted course space. No student grades and activities can be moved to the new course space.

Requests should be completed prior to the first day of class. Be sure to submit your request early so that staff have time to complete the requests prior to be start of Attendance Verification.  During the Attendance Verification process crosslisting courses will be temporarily paused until after the end of attendance verification time period.

When all updates are complete and you’re ready for students to begin accessing your course, set it to “active” through the MyGS console or within the Folio course. Beginning in July 2025, the University is implementing a new Learning Management System Storage policy for Folio (D2L Brightspace). This policy aims to enhance system performance, ensuring a consistent and stable online learning environment by limiting data stored within the LMS.

This new University System of Georgia (USG) , approved in January 2025, will provide optimal system performance, ensure that contractual obligations are met, and maintain the security and privacy of Georgia Southern’s LMS data.

Our Information Technology Services Team has created resources to assist you in exporting and preserving course content that exceeds five year limitation of the Learning Management System in keeping with the USG Records Retention policy . Use the buttons below to access detailed instructions.

Frequently Asked Questions

Which courses will be removed?
Banner Courses: All courses from semesters prior to Spring 2020
Non-Banner Courses: All courses with end dates prior to January 1, 2020; courses created before January 1, 2020 that do not have an end date set

What’s the timeline for removal?
Banner Courses: Last date to access courses – June 15, 2025; instructors removed – June 16, 2025; courses permanently removed – July 16, 2025
Non-Banner Courses: Last date to access courses – October 5, 2025; instructors removed – October 6, 2025; courses permanently removed – November 17, 2025
Any course content or material should be exported or downloaded before June 2025 (Banner) or October 2025 (non-Banner). The University System of Georgia will continue removals to maintain a 5-year course lifecycle.

What, precisely, will be deleted?
When a course is deleted, all course files, student grades, and student work will be permanently removed. This includes content pages, uploaded documents, hyperlinks, gradebook contents, discussion boards, assignments, quizzes, and announcements. Materials hosted elsewhere (e.g., YuJa videos) will not be impacted. Uploaded videos stored in the course files section will be deleted when the course is removed (see Course Admin >> Manage Files).

Are there policies about which course materials must be retained?
Yes. The University System of Georgia has retention schedules for student records. Course Records Schedule (#0472-05-005).

How do I preserve course materials or contents prior to course deletion?
Export your course content and student activity. Guides are available: Archiving course content; Archiving student data. Saved files should be stored on your Georgia Southern device, not personal equipment.

How do I request that a specific course be retained instead of being deleted?
Submit a MyHelp Request Form no later than May 15, 2025. The LTS team will review requests and coordinate with the University System of Georgia if exceptions are warranted.

Can I request the deletion of additional Folio courses?
Yes. Submit a MyHelp Request. Users with instructor or course administrator roles will be contacted to confirm before removal. Note: This option is not available for Banner courses.

Zoom Online Rooms is the the Zoom integration with Folio that allows you to add a meeting to the course calendar, start/join a meeting from within and view and share cloud recordings.

Folio Updates

Beginning in July 2025, Folio courses that are five years or older will begin to be purged from Folio. This will affect courses generated by Banner (Georgia Southern’s student information system) and non-Banner courses in Folio.

This new University System of Georgia (USG) , approved in January 2025, will provide optimal system performance, ensure that contractual obligations are met, and maintain the security and privacy of Georgia Southern’s LMS data.

The new Content Experience in Folio -Brightspace D2L offers a more intuitive, streamlined, and engaging way to manage course materials, making it easier than ever for faculty and students to navigate and interact with content. With a modernized layout, drag-and-drop functionality, and simplified organization, instructors can effortlessly upload, arrange, and edit materials in just a few clicks.

The refreshed design enhances the learning experience with improved mobile accessibility, seamless multimedia integration, and adaptive learning paths that help students stay on track. Plus, progress tracking and an intuitive interface ensure a more dynamic and user-friendly experience for all disciplines. Whether you’re structuring a new course or refining an existing one, these updates make content delivery smoother, more efficient, and more engaging than ever before!

Brightspace’s new quiz evaluation experience will be available in Folio starting in May 2025. The new experience provides an updated look and feel to your grading workflow with a focus on optimizing instructor productivity by making the quiz evaluation experience easier to use. The look and feel are consistent with the updated experiences for Assignments and Discussions that were released previously.

Instructional Tool Updates

Respondus Monitor now alerts instructors when a device is detected in a student’s hand during an online exam.

Flagging of handheld devices occurs automatically in Respondus Monitor. But in situations where an instructor wants to exclude this flag from proctoring results (such as math exams where calculators are permitted), it is easily adjusted after the assessment.

Simply select the “Sensitivity” dropdown, uncheckHandheld devices, and thenVlog. The Handheld Device flags are then removed from proctoring results, and the Review Priority scores are updated for the class.

Handheld device detection works with both frontal and side-positioned webcams. The system is trained to identify a device even when only a small part is visible in the video.

What is Turnitin?

Turnitin is a service that helps educators prevent plagiarism by detecting unoriginal content in student papers. In addition to acting as a plagiarism deterrent, it also has features designed to aid in educating students about plagiarism and the importance of proper attribution of any borrowed content.

How Turnitin Works

  1. An instructor creates a Turnitin assignment folder inside of a Folio course.
  2. Students submit their document to the assignment folder.
  3. Turnitin checks all submitted papers against an archive of internet documents, internet data, a repository of previously submitted papers, and a subscription repository of periodicals, journals, and publications.
  4. Turnitin creates an Originality Report that can be viewed by instructors and students, which identifies where the text within a student submission has matched another source.

Disclaimers

Vlog instructors may utilize a plagiarism prevention technology in some of their course sections. Students may have the option of submitting papers online through a plagiarism prevention service or by allowing the instructor to submit hard copies of their papers. The papers may be retained by the service for the sole purpose of checking for plagiarized content in future student submissions.

Resources for Instructors

When you use Folio, Turnitin can be enabled within individual Assignments Folders through the Evaluation & Feedback menu.

Make sure to view the settings options available in Turnitin. Sometimes you might want to have a document check against the Turnitin repositories, but you don’t want the paper submitted to them. For example: you are requiring a draft prior to a final paper or there is some IP associated with the document.
